Southeastern Brain Tumor Foundation's Policies

Donation Policy

By making a charitable gift to the Southeastern Brain Tumor Foundation (SBTF), a 501(c)3 not for profit organization, the donor understands that the SBTF cannot refund charitable donations. For the Race for Research or Muddy Duck Dash, SBTF events, charitable gifts are also non-refundable.

Cancellation Policy

After you have registered for a SBTF event, including the Race for Research, Golf Invitational, Pickleballin' for Brains or Muddy Duck Dash, no refunds are available for any reason. If the event is cancelled, tshirts or other swag for those registered are not guaranteed.

Even if you choose to cancel, SBTF cannot refund your registration fee and donations received nor transfer registration fee and donations to another participant's fundraising for any SBTF events including the Race for Research, Golf Invitational, Pickleballin' for Brains, or Muddy Duck Dash. Registrations will be converted to a donation to the Southeastern Brain Tumor Foundation.

The Southeastern Brain Tumor Foundation may cancel or reroute an event due to the occurrence of any force majeure event or credible threat thereof, including but not limited to any Act of God, fire, earthquake, acts of civil or military authority, casualty, flood, war, terrorist attack, epidemic, pandemic, insurrection, civil unrest, strikes or other labor activities or any other similar cause beyond the reasonable control of the SBTF including environmental conditions that might threaten the health and safety of event participants, volunteers or staff. In this event, all registration fees will be converted to donations to support our cause and not refunded.

We understand that participants might think, "I can't participate so I want my money back", or "SBTF can just hold on to my donations until I find a time I can attend an event," or "The event is in two weeks and I just decided I can't make  it, but I'm sure the SBTF can transfer my donations to my registered teammate." However, for a nonprofit organization, like the SBTF, it is not that easy.

The production of an event requires months of planning and a significant upfront financial investment on our part. To offer refunds or to transfer participants to another event costs the SBTF and eventually could make it impossible to support our mission to end brain tumors.

We take our commitment to support the cause and our beneficiaries seriously. To that end, we work hard to support every SBTF participant's fundraising commitment. When you register for a SBTF event, we begin preparing the logistics for your participation and paying for your event expenses. If you cancel your spot, SBTF and our research grant program suffer a financial loss.

Unlike many nonprofits that run charitable events, we are in a unique position that we only employ three part-time personnel. Keep in mind that a participant transfer is still not easy for us- as a small staff, a participant transfer disrupts our planning and challenges our commitment to deliver the best events possible.
